Privacy Policy

1. Scope and our role
This Privacy Policy explains how TextEasy AI LLC ("TextEasyAI," "we," "us," or "our") collects, uses, discloses, and protects information when people visit our website or use our customer communication platform.
When TextEasyAI processes contact information and messages for a business customer, that business generally determines the purpose of the communication and acts as the sender. TextEasyAI acts as its service provider or processor. Questions about a particular business's messages should first be directed to that business.
2. Information we collect
We may collect account information such as names, email addresses, passwords in securely hashed form, workspace roles, and authentication records. Customers may provide business details, contact records, consent history, campaign drafts, notes, tasks, appointments, pipeline activity, and message content.
Consent records may include the mobile number, selected message categories, exact disclosure presented, form and program identifiers, electronic signature, submission timestamp, source page, referral information, browser or device information, and a hashed representation of the IP address.
Our systems may also collect request logs, security events, and service usage. Payment details are collected and processed by Stripe; TextEasyAI does not store complete card numbers.
3. How we use information
We use information to provide and secure the platform, authenticate users, organize customer workspaces, deliver requested messaging features, create and preserve consent evidence, honor opt-out requests, prepare AI-assisted drafts, process subscriptions, provide support, prevent spam, fraud, and misuse, and comply with legal and carrier requirements.
4. Service providers
We use service providers to operate TextEasyAI, including Cloudflare for hosting and data infrastructure, Twilio for communications, OpenAI for requested AI-assisted drafting, Stripe for billing, and other vendors required to secure and maintain the service. These providers receive information only as reasonably necessary to perform services for us or our customers and may not use SMS consent data for their own independent marketing.
5. Mobile information and SMS consent data
We do not sell mobile numbers, SMS consent records, or opt-in information. We do not share them with third parties or affiliates for those parties' own marketing or promotional purposes.
Mobile information and consent data may be disclosed to telecommunications carriers and service providers solely to transmit messages, operate the requested program, maintain consent and suppression records, prevent abuse, or comply with law. Consent applies to the specific business, program, and message categories disclosed at opt-in and is not transferred to unrelated businesses.
SMS programs may send recurring messages. Message frequency varies by the business, program, and recipient activity. Message and data rates may apply.
TextEasyAI customers are responsible for collecting and documenting legally sufficient consent before sending messages. Purchased, scraped, rented, or unlawfully shared contact lists may not be used through the platform.
6. AI-assisted features
When a user requests an AI draft, relevant message content and the workspace's approved business settings may be sent to an AI service provider to generate that draft. AI output can be inaccurate. Users are responsible for reviewing drafts and ensuring that every communication is authorized and appropriate before sending.
7. Retention and security
We retain information for as long as reasonably necessary to provide the service, maintain business and compliance records, resolve disputes, and meet legal obligations. Consent evidence, message records, and revocation history may be retained after a customer relationship ends. Suppression records may be retained longer so an opted-out number is not accidentally contacted again.
We use administrative and technical safeguards designed to protect information, but no online system can guarantee absolute security.
8. Your choices and rights
Message recipients may opt out by replying STOP or by making another clear request to the sender through a reasonable method. Recipients may reply HELP for assistance where supported. Depending on applicable law, you may request access to, correction of, deletion of, or a copy of personal information by contacting us. We may verify your identity and may direct requests concerning a customer's program to that customer. Some information may be retained where required for security, billing, legal, compliance, or suppression purposes.
9. Children's privacy
TextEasyAI is a business service and is not directed to children under 13. We do not knowingly collect personal information directly from children under 13.
10. Changes and contact
We may update this policy as the service develops. The effective date above will be revised when changes are posted. Questions or privacy requests may be sent to hello@texteasyai.com.
